Orokolo Club Participation Terms and Conditions
General
- Cancellations or no-shows
- All payments are non-refundable except in cases of injury or ill-health, supported by a medical certificate from a qualified practitioner.
- In the event that Orokolo Holiday Club must cancel activities due to circumstances beyond our reasonable control (e.g. extreme weather, venue closure, staff illness), we will endeavour to offer an alternative date or credit towards a future session.
- Medical conditions and special educational needs
- Parents/guardians must inform us at registration of any pre-existing medical conditions, allergies, special educational needs, or behavioural matters, and provide details of any medication required.
- If relevant information is not disclosed, Orokolo Holiday Club reserves the right to exclude the child from activities without refund.
- Any medication left on site must be accompanied by a completed Medication Authorisation Form.
- Behaviour
- Abusive, aggressive, or persistently disruptive behaviour towards staff or other children will result in immediate exclusion from the club (without refund) and from future activities.
- Parents/guardians are responsible for any damage caused to property or equipment by their child.
- Clothing and equipment
- As our sessions are outdoors, children must arrive with suitable clothing for the weather (e.g. waterproof jacket, waterproof trousers, boots, or in summer, sunscreen, hat, sunglasses).
- A spare set of clothes is strongly advised.
- Children not dressed appropriately may be refused entry without refund.
- Personal belongings
- Orokolo Holiday Club and the venue accept no responsibility for loss or damage to personal items.
- To minimise risk, please clearly label all belongings with your child’s name and a contact number.
- Programme changes
- For reasons beyond our control, activity content, timing, or delivery may need to change. Advance notice will be given where possible.
- Safeguarding and child protection
- All Orokolo Holiday Club staff have a duty of care and follow statutory safeguarding guidance.
- If staff suspect a child may be at risk of harm, or if a disclosure of abuse is made, the Designated Safeguarding Leads (DSLs: Ekaterina Belcheva or Anelia Vucheva) will be informed and appropriate action taken.
- Bookings and payment
- Places are allocated on a first-come, first-served basis and confirmed only once full payment has been received.
- We regret that childcare vouchers cannot be accepted.
- Spaces cannot be reserved without payment.
- Food
- All children must bring a packed lunch and nut-free snacks.
- Parents may provide additional snacks for sharing, provided they are nut-free and ideally low in sugar.
- Lateness
- Sessions finish at 18:00. A 15-minute grace period is allowed.
- After this, a £15 late fee applies for each additional 15 minutes.
- At 18:45, if no contact has been made, Lambeth Social Services will be notified. Every effort will be made to reach parents and emergency contacts first.
- Late fees must be paid in full before your child can attend another session. Failure to pay may result in exclusion.
- Camping
- Where camping is booked, Orokolo Holiday Club’s responsibility ends at 18:00 unless alternative arrangements are made in advance.
- Insurance
- Orokolo Holiday Club holds full Public Liability Insurance. A copy is available upon request.
- Governing law
- These terms are governed by the laws of England and Wales.
